Excel vs VehicleERP: when the spreadsheet stops being free.

Excel is free, familiar, and genuinely adequate for a dealer moving a handful of cars a month. This page is about the point where it stops being adequate - and what actually changes when the stock list, the expenses, the partner money and the GST all live in one place.

When Excel is enough

If one person buys, sells and keeps the books, the dealership has one location, no outside partners fund cars, and stock is a few cars at a time, a well-kept sheet works. We say this on purpose: a tool you do not need is not a good purchase, and plenty of small dealers are right to wait.

Where it breaks

  • Cost lives in three places. The purchase is in the sheet, the denting and servicing bills are in WhatsApp, the RTO papers are in a drawer. Profit per car becomes a guess.
  • Two people editing one file. A salesperson updates a status on their phone while the owner edits the same sheet on a laptop. One of those edits is lost.
  • Partner settlements by hand. A forgotten expense or a loan return counted twice turns a settlement into an argument.
  • The second branch. Two sheets, two truths, and the owner learns branch performance from a phone call.
  • GST typed into a bill template. The margin is calculated by hand, and the tax paid is not tied back to the car.

Excel + WhatsApp

How most dealerships start

  • Stock in a sheet, bills in WhatsApp, papers in a drawer
  • Profit known when the books close
  • Partner shares worked out by hand
  • GST margin calculated manually per bill
  • One file, one editor at a time
  • A new sheet per branch
  • Free

VehicleERP

One system for the whole dealership

  • Every cost, document and status on the car itself
  • Profit on the car the moment it sells
  • Shares calculated from real landed cost, per partner
  • GST recorded per sale under the margin scheme
  • Unlimited team members with role-based access
  • Every branch on one owner dashboard
  • ₹1,499/month + GST after a 30-day free trial

What switching actually involves

  1. Step 1

    Bring the sheet in

Your current stock list, with costs and documents, is loaded during guided onboarding.

  2. Step 2

    Set up your business

Branches, partners, expense heads and team roles - usually a single session.

  3. Step 3

    Run both for a week

Keep the sheet alongside while the team gets used to updating the car from their phone.

  4. Step 4

    Retire the sheet

Once every new purchase and sale is going into VehicleERP, the spreadsheet is a backup, not a system.
