Understanding roles
Admin, Branch, and Employee roles and what each can do.
VehicleERP organises your dealership into a simple hierarchy. Where you sit in this hierarchy decides what you can see and do.
The three levels
| Role | Who they are | What they can see |
|---|---|---|
| Admin | The dealership owner / head office | Everything across all branches |
| Branch | A single showroom or location | Only their own branch's data |
| Employee | Staff working at a branch | Only their branch's data, limited to their permissions |
One dealership, many branches
An Admin account represents the whole dealership. Under it you can create multiple branches (locations), and under each branch you add employees. Data stays neatly separated: one branch never sees another branch's vehicles or ledger.
What each role typically does
- Admin — creates branches and employees, sets up master data (makes, models, expense heads, etc.), configures GST and financial year, and reviews reports across the business.
- Branch — manages the branch's inventory, inquiries, purchases, sales, and ledger.
- Employee — handles the day-to-day tasks they've been given permission for, such as logging inquiries or recording sales.
Permissions
Beyond the role, individual permissions control which features a person can use (for example, "can create vehicles" or "can view reports"). Your Admin assigns these. If you can't find a menu or button you expect, you may not have permission for it — ask your Admin.
