Logging expenses

Record repair, transport, and other costs against a vehicle.

As you prepare a vehicle for sale, you'll spend money on it — repairs, cleaning, transport, paperwork. Recording these expenses keeps your true cost accurate, which in turn keeps your profit and GST correct.

Before you begin

You must have recorded the purchase before logging expenses against a vehicle.

How to log an expense

Expenses are recorded as ledger entries against the vehicle:

  1. On the vehicle's Detail page, go to the Ledger section and choose to add a Vehicle Expense entry.
  2. Choose the expense head (the category, e.g. Repair, Transport). Add expense heads under Master data if needed.
  3. Choose which account the money came from (your company cash or a bank account).
  4. Enter the amount, date, and an optional remark.
  5. Tap Save.

Good to know

  • Each expense adds to the vehicle's total cost. This matters at sale time, because for used vehicles GST is calculated on your profit (sale price minus total cost).
  • You can log as many expenses as you need, across different categories.
  • Office expenses that aren't tied to a specific vehicle are handled separately — see Reports & ledger.
