What “used car management software” means in India
In India the phrase covers one job: running an independent used car business - buying cars from individuals, reconditioning them, selling them under the GST margin scheme, moving the RC to the new owner, and knowing what each car earned once every cost and every partner’s share is counted. It is a different job from a franchise dealer management system, which is built around OEM orders, workshops and spare parts, and from a billing app, which produces the invoice and stops there. VehicleERP is built for the first job only (why we are not a DMS).
What Indian dealers need that generic software does not have
- GST under the margin scheme. A registered dealer who buys a used car from an individual and resells it normally charges GST on the margin under Rule 32(5) of the CGST Rules - 18% on selling price minus purchase price, nil when the margin is negative, no input tax credit on the purchase. VehicleERP records each sale with that treatment and tracks the GST actually paid per car (GST billing).
- RC transfer paperwork kept with the car. Form 29 (notice of transfer), Form 30 (application for transfer), the RC book, insurance copy and NOC are uploaded against the vehicle, so the transfer file is complete before delivery and findable years later (dealer checklist).
- Profit per car, not per month. Purchase price, reconditioning, transport, commission and every other expense sit on the car record, so profit appears the moment the sale is recorded - and so does the GST on the margin (sales module).
- Days in stock and ageing alerts. Every car shows how long it has been on the lot and what it is costing to hold, with alerts before stock ties up cash (inventory).
- Partner and investor shares. Most Indian used car businesses fund cars with partners. Each partner’s contribution and share is recorded per car and settled automatically (partners module).
- Brokerage and consignment deals alongside owned stock, with the commission and the owner’s payout recorded on the same car (how commission deals work).
- WhatsApp updates to buyers and your team - booking confirmations, payment and delivery updates - sent from the record, not typed by hand.
- Every branch from one login, with role-based access and per-feature permissions so branch staff see their branch and owners see everything (branch management).
- Hindi, Gujarati and English, on any phone or tablet browser - nothing to install.
- Import your stock, export your data. Your existing Excel stock list is brought in during onboarding, and everything can be exported for your CA at any time.
